Job Summary:
We are looking for a highly organized and detail-oriented Admin Executive to join our team. The Admin Executive will be responsible for managing day-to-day administrative tasks, supporting various departments, and ensuring smooth office operations. This role requires excellent multitasking abilities, communication skills, and a proactive approach to problem-solving to support a productive workplace.
Key Responsibilities:
- Office Administration and Coordination
- Oversee general office operations, including facility management, office supplies, and maintenance coordination.
- Serve as the primary point of contact for internal staff and external visitors, ensuring professional and efficient interactions.
- Scheduling and Meeting Coordination
- Assist with calendar management, scheduling meetings, and coordinating appointments for executives and teams.
- Arrange meeting logistics, including booking conference rooms, organizing materials, and handling catering needs.
- Documentation and Data Management
- Maintain accurate records, files, and databases, ensuring confidentiality and compliance with data protection policies.
- Prepare, organize, and manage documentation such as reports, letters, memos, and meeting minutes as required.
- Travel and Event Coordination
- Arrange travel accommodations, including booking flights, hotels, and transportation for employees.
- Assist in organizing company events, conferences, and team-building activities.
- Vendor and Inventory Management
- Manage relationships with office suppliers and vendors, ensuring timely procurement and quality control.
- Track and maintain office inventory, placing orders for necessary supplies to support office functionality.
- Administrative Support
- Support various departments with administrative tasks as needed, including handling correspondence and assisting with onboarding of new employees.
- Process expense reports, handle petty cash, and support basic financial documentation as required.
- Compliance and Policy Adherence
- Ensure adherence to company policies and procedures, including health and safety protocols.
- Support the HR and finance teams in implementing compliance practices as needed.
- Coordination with IT Team
- Coordinate with IT team regarding different IT related issues like purchase, set up, integration etc.
Qualifications and Skills:
- Education: Bachelor’s degree in Business Administration, Office Management, or a related field.
- Experience: 2+ years of experience in an administrative role, preferably in a corporate or professional setting.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Organizational Skills: Excellent organizational and time-management skills with attention to detail.
- Interpersonal Skills: Strong communication and interpersonal abilities for effective collaboration.
- Problem-Solving: Ability to handle multiple tasks and solve problems proactively in a fast-paced environment.
